When editing the template version with the template editor, you can flag that an element needs to be assigned to a user. You can only flag that an element needs to be assigned to a user, but you will not specify the user in the template. When using a template to launch a document, and the template includes elements that are flagged to be assigned to user then there will be a step in the launch process to select the users for each element that requires assignment.
In the template editor, an element flagged to be assigned to a user has a user icon under the element. You can see the user icon under this text field element and the two checkbox elements.
Once a document is launched using a template that has elements that are flagged to assign users and users are assigned, the running document will display the assigned users next to the user icon.
How to Assign Element to a User
To flag an element to be assigned to a user, follow these instructions:
1. In the template editor, locate the element you want to assign to a user.
2. Click on the element to bring up the options menu in the right sidebar.
3. In the options menu find Assign to User.
4. Toggle the Assign to User switch to the on position.
Note that when an element is Assigned to a User, it can not also be assigned to a user group. When Assigned to User is enabled on the element, the option for Assign to Group is hidden.
5. Click the Save button on the element.
6. The element will be flagged to be assigned to a user and now has a user icon under the element.
Now when the a document is launched using this template, the launch process will include a step to assign this element to a specific user.
Launching a Document and Assigning Users
When a document is launched using a template includes elements that are flagged to be assigned to users, the launch process will include a step to Assign Users. This Assign Users step is after the first step of creating the document.
When the document is created and it requires users to be assigned to elements, the status of the document will be draft. After all elements that require assignment are appropriated assigned users, then the document can be run. Running the document changes the status from draft to running.
Once we continue from Create Document in step 1, we are directed to the Assign Users page.
On the Assign Users page we need to assign a user to each of the elements that require to be assigned. Start the process by clicking the Start Assigning Users button.
You will be scrolled to the first element that is required to be assigned to a user. In the right sidebar there will be a panel to select the one or more users.
You will need to select at least one user. You can select more than one user if you want so the element will be assigned to multiple users.
After assigning user(s) to the element, click the Next button to proceed to the next element that requires users to be assigned.
Assign the users to the element and continue to click the Next button.
Once all elements that are flagged as assign to user have users assigned, then there will be a button in the right side bar to Run Document.
The Run Document button will also appear at the top of the Assign Users page after all elements are appropriately assigned with users.
Clicking the Run Document will finish the launch document process. The document will now be in the running status.
Below shows how the elements assigned to a user(s) appear when running a document. The user's gravatar is displayed next to the user icon. Hovering over the user's gravatar will display the user's name.
