Once you have finished editing the template version, you need to activate it. Activating a template version changes the status of the version from draft to active. When the template version is active, then documents can be created using the template and run.
For example, you have created a template for a Launch Countdown Procedure. The template for the procedure details various tasks, how to do them, and checkboxes to indicate each task was completed and verified. To run this procedure in your operations you will use the template to create a document. The document can then be updated.
Below shows an example template for a Launch Countdown Procedure. The status of the template version is draft. When the status of the version is draft, it can be updated with the Editor. When the status of the version is active, it can no longer be updated (the button to Launch Editor is removed), but documents can now be created using the version.
When viewing a template, the version tab will list all the versions and their statuses. You can have one or more versions with the status of draft, but only one version that has the status of active. When you activate a new version, if there is a version that is active its status will be changed to archived.
How to Activate a Template Version
If this is the first version for the template, then when viewing the template, the Template tab has a button for Activate Version.
1. Click the Activate Version button.
2. The status of the version will change from draft to active.
3. Since the version is now active, it be used to run documents. The version can no longer be edited. If want to edit the version, you will need to create a new version.
When viewing the Versions tab, the version that was activated will have a status of active.
You can also activate a specific version by locating it in the Versions tab. The click to view it. Once viewing a version with a status of draft, you will be able to activate it.
