A procedure template takes a document, abstracts it and allows it to be actionable. The contents of the template is contained in the version. Then the template can be used to create documents. The version of the template that is active is used to create to create a document. The document is what is run.
While you may only have one version of your template now, with time you may need to make changes to it. Versions allow you to make a new version of the template without releasing it for your team to run as documents until you are ready to do so.
The diagram below illustrates the three options on how a template can be created. When creating a template by uploading a document or importing a Google Doc, a version document is create automatically. Once you have an active version of the template, you can then use the template to create documents. Documents can only be created from the one and only active version of the template.
3 Options to Create a Template
There are three options to create a template:
- Create New Template from Uploading a Document
- Create New Template from Importing a Google Doc
- Create a New Blank Template
Creating Template from Uploading Document
This is one of the easiest methods for creating a new template. With this method you select a document to upload. While the upload process supports multiple document formats, the most commonly used ones are .DOC and .DOCX for a Microsoft Word documents as well as .PDF for Adobe Acrobat documents.
Once the uploaded document is processed, a new template will be created using it. The template will include a version document that will include the contents from the uploaded document.
Creating Template from Importing Google Doc
Another method for easily creating a new template is importing a Google Doc. To import a Google Doc you will need to allow our application to read documents in your Google Drive. Once our software has access to your Google Drive, we will display a list of your Google Docs. You will then be able to select one of them to import.
Once the Google Doc is imported and processed, a new template will be created using it. The template will include a version document that will include the contents from the imported Google Doc.
Creating a Blank Template
When you create a blank template, it is empty. It will not include a version document either.
Once you have a blank template, you can then manually create your first version template.
